Event & Marketing Coordinator
Papergirl Vancouver is an inclusive, non-commercial art project that brings people together in celebration of art and community in an unconventional way: through the spirit of altruism.
In this annual project, artists of all ages and abilities are invited to donate their work to a non-juried exhibition. Afterward, the artwork is rolled into bundles and is distributed by a team of cyclists (in the style of the American paperboy) to anyone they meet along specific bike routes around Vancouver.
We are looking for team members for 2014! In joining our dynamic member of dedicated volunteers you will help bring Papergirl: Art of Giving Art to the people of Vancouver.

Event and Marketing Coordinator Role Description: We are looking for an innovative, team-oriented individual who enjoys working with others and maintaining relationships with a diverse group of people, from the artists we work with to our sponsors, staff and volunteer team. This position will be working hands on with the Papergirl Team Leaders, focusing on putting together our various special events as well as marketing them. You have a love for the arts, bringing community together and experience in event management.

Each volunteer is required to:
- Attend our Team Kick off meeting March 13th
- Be able to commit 5-10 volunteer hours from March 13-August 8th 2014
- Attend a monthly team meeting and report back to the team on their progress
- Use our online project management system. We will train you on this at our kick off meeting
- Be able to attend 3 of the 5 core events in July. We will discuss this at our team kick off meeting

Tasks & Duties
- Develop plans for the various Papergirl Vancouver2014 events in collaboration with the Team Leaders
- Develop marketing plans for these events and execute the plans with the support of other team members
- Publicizes events and work with other team members and outside organizations to to raise awareness and drive high levels of attendance and participation by targeted audience
- Utilize your marketing expertise to help develop and execute marketing plans that will increase awareness of Papergirl Vancouver
- Coordinate events on the days of with the Papergirl Vancouver Team Leaders, managing volunteers and being the person of contact for vendors and staff.
Deliverables
- Work with the Papergirl Vancouver Team Leaders to plan and coordinate great event experiences for our community members.
- Creation of event invites from evites, printed materials, Facebook events, and setting up of eventbrite events. (to be done in collaboration with our designer).
- Completion of Papergirl Vancouver event checklists to be used for following years
- Completion of Papergirl Vancouver event marketing strategy to be used for next year
- Working with the Papergirl Vancouver Team Leaders to identify, cultivate, and solicit cash and in-kind sponsors.
- Available on event days to implement the event experience strategy, meet and greet event participants and manage volunteers.
- Produce a final report of lessons learned and suggestions for next year.
Skills and Experience
- A very driven, self-motivated individual that is excited about putting on the best events possible!
- Communication: Strong communication and written skills.Must be able to work with a diversity of with volunteers, Roundhouse staff, partnerships and community members; listening to their needs and presenting ideas and solutions to their requirements. Customer service and interpersonal skills are required.
- Calm Under Pressure: Able to work under deadlines and remain calm during the high pressure of an event in progress.
- Computer Skills: Modern event planners rely on computers to communicate, plan, budget and organize their events.
- Exceptional organizational and planning skills
- Comfortable soliciting donations
- Leadership: Professional demeanor with an ability to supervise, train, and mentor volunteers.
- Organization: Many things happen all at once at events so you will need to stay focused and organized so that the event goes off without a hitch.
- Problem-Solving Skills: Inevitably, something will go wrong at an event, or prior to. Being able to quickly solve the issue is required.
- Strong communication and written skills
- Knowledge of using social media to promote events
- comfortable reaching out to various media, bloggers and organizations to help promote the events.
